Advanced Enterprise Resource Inventory System Pty Ltd (ABN 76 695 843 675), trading as AERIS (“we”, “us”, “our”), is committed to protecting the privacy of individuals who interact with our platform, website, and services.
This Privacy Policy explains how AERIS collects, uses, holds, and discloses personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in Schedule 1 of that Act.
By using the AERIS platform or website at aeris.team, you acknowledge that you have read and understood this Privacy Policy.
2. What Personal Information We Collect
AERIS collects the following categories of personal information, depending on how you interact with us:
2.1 Identity and Contact Information
When you sign up for an account, request a demo, or contact AERIS support, we may collect:
- Full name
- Business name
- Business role or title
- Email address
- Phone number
- Mailing address
2.2 Billing Information
When you subscribe to a paid AERIS plan, we collect:
- Billing contact name and address
- Payment card details
Payment card information is processed and stored by our third-party payment processors (such as Stripe and Square). AERIS does not store full payment card details on its own systems.
2.3 Technical Information
When you access the AERIS platform or visit aeris.team, we automatically collect:
- IP address
- Browser type and version
- Device type and operating system
- Referring URL
- Pages viewed and features accessed
- Session duration
- Geographic region inferred from IP address
2.4 Operational Data (Customer Business Data)
When a customer business uses AERIS as its business management system, AERIS processes data that the customer’s business generates. This includes data relating to the customer’s own customers, products, sales transactions, and employee logins.
AERIS processes this operational data on behalf of the customer business as a data processor. The customer business remains the data controller for its end-customer data and is responsible for ensuring its own use of the AERIS platform complies with applicable privacy laws.
2.5 Marketing Preferences
We maintain records of:
- Newsletter subscription status
- Demo request history
- Communications history with AERIS
2.6 Camera
The AERIS Go mobile app uses your device’s camera solely to scan product barcodes. Images are processed on the device in real time and are not recorded, stored, or transmitted to AERIS or any third party.
3. How We Collect Personal Information
AERIS collects personal information in the following ways:
- Directly from you: when you sign up for an account, complete a form, book a demo, contact our support team, or use the AERIS platform.
- Automatically: through cookies, server logs, and analytics tools when you visit aeris.team or access the AERIS platform. See Section 9 (Cookies) below.
- From third parties: only where you have explicitly authorised this, including from referral partners, payment processors providing transaction confirmations, and integration partners providing connected service data.
4. Purposes for Which We Use Personal Information
AERIS uses personal information for the following purposes:
- To provide, maintain, and improve the AERIS platform and associated services.
- To process subscriptions and payments.
- To communicate with you about your account, service updates, support requests, security notifications, and changes to our terms or policies.
- To send marketing communications, including product updates and educational content, where you have given your consent. You may opt out of marketing communications at any time (see Section 7).
- To improve our products and services through analytics conducted on aggregated, de-identified usage data.
- To meet our legal, regulatory, and tax obligations.
- To prevent and detect fraud, abuse, and unauthorised access to the platform.
We will not use your personal information for a purpose that is unrelated to the reason it was collected, unless we have your consent or are otherwise permitted or required to do so by law.
5. Disclosure of Personal Information
AERIS shares personal information with third parties only as necessary to provide the AERIS platform and services. These include:
- Hosting infrastructure: Google Cloud Platform, operating in the Sydney, Australia region (australia-southeast1).
- Payment processors: Stripe, Square, and similar providers used to process subscription payments.
- Communication providers: Email and SMS providers available through the AERIS Marketplace, including Mailersend, Sendgrid, MobileMessage, and Twilio.
- Accounting integrations: Third-party accounting platforms that customers choose to connect to AERIS, including Xero, MYOB, and QuickBooks.
- AERIS personnel: Support and engineering staff who require access to personal information for the purpose of delivering and maintaining the service.
AERIS may also disclose personal information where required or authorised by law, including to government agencies, regulatory bodies, or law enforcement agencies acting under valid legal process.
AERIS does not sell personal information.
AERIS does not share personal information with advertising networks for cross-context behavioural advertising.
6. Data Storage, Location, and Retention
Storage location: Customer data is hosted on Google Cloud Platform infrastructure in the Sydney, Australia region (australia-southeast1) by default. Some operational metadata may transit through global cloud infrastructure for routing, content delivery, and security purposes. In all cases, AERIS ensures contractual protections consistent with the APPs are in place with its infrastructure providers.
Cross-border transfers: Where personal information is transferred internationally, AERIS takes reasonable steps to ensure the recipient is bound by obligations that are at least equivalent to the APPs. See Section 10 for further details.
Retention: AERIS retains personal information for as long as your account is active, plus a reasonable period afterwards to meet our legal, tax, and accounting obligations (typically seven years from the date the relevant obligation ends).
Once personal information is no longer required and the retention period has ended, AERIS will delete or anonymise it in accordance with our internal data management procedures.
7. Your Rights
You have the following rights in relation to the personal information AERIS holds about you:
- Access: You may request a copy of the personal information we hold about you.
- Correction: You may request that we correct any personal information that is inaccurate, out of date, incomplete, irrelevant, or misleading.
- Deletion: You may request that we delete your personal information, subject to our legal and regulatory retention obligations.
- Withdraw consent: You may withdraw your consent to receive marketing communications at any time by using the unsubscribe link in any marketing email, or by contacting us at [email protected].
- Complaints: You may lodge a complaint with AERIS about how we have handled your personal information.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
8. Security
AERIS takes reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. Our security measures include encryption in transit and at rest, access controls, and secure infrastructure provided through Google Cloud Platform.

9. Cookies
AERIS uses cookies and similar technologies on aeris.team and the AERIS platform to support the operation of the service, remember your preferences, and analyse usage patterns.

10. Cross-Border Data Transfers
Personal information is primarily stored in Australia on infrastructure located in the Sydney, Australia region. Where data is transferred or accessible outside Australia (for example, through globally distributed cloud infrastructure or third-party service providers), AERIS takes reasonable steps to ensure the overseas recipient handles that information in a manner consistent with the APPs, including through contractual protections.
11. Children’s Data
The AERIS platform is designed for use by businesses and business professionals. It is not directed at, and is not intended for use by, individuals under the age of 18. AERIS does not knowingly collect personal information from children. If you believe we have inadvertently collected personal information from a child, please contact us at [email protected] and we will take prompt steps to delete it.
12. Changes to This Privacy Policy
AERIS may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons.
Where changes are material, we will notify you by email or through the AERIS platform at least 30 days before the changes take effect. The updated Privacy Policy will be published on aeris.team with the revised “Last updated” date.
Your continued use of the AERIS platform or website after the effective date of any changes constitutes your acceptance of the updated Privacy Policy.
